How NBEA Got 90% Benefit for 1/3 Cost on GroupApp

Joe McClary runs the National Business Education Association, or NBEA for short. His members are business teachers at both college and high school levels who cover everything from accounting and bookkeeping to information technology and international business. That’s a whole lot of different topics to serve under one roof.

For years, Joe tried to connect his members using Facebook groups. It worked okay, but the platform comes with a lot of baggage, like the endless distractions, the algorithm that hides important posts, and the feeling that you’re always trying to have a serious conversation inside a carnival. Joe knew his educators needed a real home, not a social media page.

So he went on a hunt. A serious hunt. He compared more than 10 community platforms, road-tested four of them, and created spreadsheets. He lost sleep and did everything an executive director should do before making a big decision.

Then he found GroupApp, and the math was so simple it almost made him laugh.

The Problem with Facebook Is That It’s Facebook

Joe is a practical guy. He didn’t want to bash Facebook publicly. But let’s be honest, Facebook groups are great for sharing memes and planning birthday parties. But they’re terrible for organizing deep professional discussions across dozens of different business topics.

“Facebook obviously has its advantages,” Joe says carefully, “but on the other side, it also has deep disadvantages.”

His members needed a place where an accounting teacher could talk shop without getting buried under IT management posts. A place where a new educator could ask a question without worrying about the algorithm hiding it. A place that felt professional, not noisy.

Plus, Joe didn’t want to force his members to use a platform that also showed them cat videos and political arguments. He wanted a dedicated space that was all business, all the time.

So he started shopping.

The Great Platform Hunt (10 Competitors, 4 Road Tests, 1 Winner)

Joe approached this like the analyst he is and developed a detailed gap analysis. That’s a fancy way of saying he made a giant list of pros and cons for every platform he could find. We’re talking more than 10 different options.

He narrowed it down to four that looked promising and took each one for a test drive. Some platforms had every bell and whistle you could imagine, but they were complicated to use. Really complicated. The kind of complicated where you need to hire a developer or learn Cascading Style Sheets just to make the community look right.

“I didn’t want to have to learn CSS,” Joe says with a laugh. “I didn’t want my staff to learn CSS. We have better things to do.”

Other platforms had great features but came with a price tag that made Joe wince. They wanted to charge exponentially more for features that his members would probably never use.

Then he found GroupApp. The interface was clean and simple, kind of like Facebook but without the junk. The price was reasonable. And when Joe did the math, he realized something that made him smile.

“We got probably 80 to 90 percent of the benefit we really wanted for about a third of the cost,” he says. “Anytime you have 90 percent of the benefit for a third of the cost, it is a no-brainer.”

The Magic Words: “We’ll Build a Custom API for You”

Here’s where most platform comparisons fall apart. Joe needed GroupApp to talk nicely with NBEA’s existing association management system. That’s the software that handles member logins, profiles, and all the boring but essential backend stuff.

Many platform providers, when you ask about integration, will shrug and point you to a third-party company. They don’t really have a stake in making it work. If something breaks, they point fingers at someone else.

GroupApp did something different. We had an in-house development team that worked directly with Joe. We came together, made a plan, and stuck to it. No finger-pointing and no farming out. Just real people solving real problems.

“You can tell very quickly when a provider has your back,” Joe says. “They didn’t pass us off to someone else.”

GroupApp built a custom API integration that allows NBEA members to log in to the community using their existing username and password. No duplicate accounts and no forgotten passwords. Profile information flows automatically from the association system into GroupApp. It just works.

Joe was impressed. “They did what they said they were going to do,” he says. “That sounds simple, but in the real world, it’s rare.”

Finally, a Platform That Handles the Geek Stuff

Today, NBEA’s community lives on GroupApp. Members use dedicated channels to discuss accounting, IT management, international business, and every other topic under the business education umbrella.

The conversations are focused, the noise is gone, and the mobile app means educators can stay connected from their phones, whether they’re in a classroom or on a coffee break.

Joe doesn’t have to worry about the technical layer, since GroupApp handles it all. His staff didn’t have to learn any coding. They just log in and engage.

“We didn’t want to have to learn all the techy stuff,” Joe says. “GroupApp takes care of that whole technical layer that we don’t have to deal with.”

He also appreciates that GroupApp is still growing. As an up-and-coming company, they actually listen to their users. They have a vision for what a community platform should be, and they include their customers in that vision. When new features roll out, like the Android and iOS apps, the platform becomes even better.

Joe is quick to say this isn’t a paid commercial. He’s just being honest.

“They delivered. They did what they said they were going to do.”

The Playbook for Associations and Membership Organizations

If you run an association, a membership group, or any organization that needs to connect people across different interests, here’s what you can steal from Joe’s experience.

1. Do your homework, but don’t overcomplicate it. Joe compared 10 platforms and road tested four. That’s thorough, but he didn’t let perfect be the enemy of good. He focused on the 80 to 90 percent of features he really needed.

2. Watch out for platforms that charge exponentially more for marginally better features. Joe got most of the benefit for a third of the cost. That math wins every time.

3. Ask about integration before you sign anything. If the platform provider farms you out to a third party for integration, run. You want a team that owns the solution and has a stake in making it work.

4. Dont let your staff become tech support. If you have to learn CSS or hire a developer to manage your community platform, you’re doing it wrong. Pick a platform that handles the technical layer so you can focus on your mission.

5. Trust a provider that actually does what they promise. Joe says this is rare, but GroupApp delivered. When a company is nimble, listens to users, and follows through, stick with them.

The Part Where Joe Almost Feels Sorry for the Other Platforms

When Joe talks about other platforms, he doesn’t name names (he’s too classy for that). But you can hear the smile in his voice when he says, “There are other systems that are more complicated that technically do more things, but with that complication, the cost exponentially increases. It exponentially increased our labor to implement.”

Translation: other platforms wanted to sell him a Ferrari when all he needed was a reliable truck. GroupApp sold him the truck at a fair price, and it came with a team to help him load it.

Get 90% of the Good Stuff for a Third of the Price

Joe started with a problem that many association leaders face. He had members who wanted to connect, but Facebook was too distracting, and other platforms were too expensive or too complicated. He did the research, found GroupApp, and built a thriving community where business educators can actually focus on their work.

If you’re running an association or membership organization and are tired of fighting Facebook’s algorithm or paying for bloated software, take a page from Joe’s book. Get 90 percent of the benefit for a fraction of the cost. Let someone else handle the technical layer and actually enjoy your community again.
