MemberPlanet helps organizations manage members and collect payments. It handles the administrative tasks well: collecting dues, tracking renewals, running events, and sending out basic communications.
But members today expect more than just transactions. They want connection, value, and a real sense of community. That’s why we tested MemberPlanet to see if it can do both: manage your membership and help you keep people engaged.
In this review, we’ll walk through the key areas:

MemberPlanet is a cloud-based platform built for small and midsize organizations that need help managing members and daily operations.
It provides the essential tools for running a membership group: a secure member database, flexible membership levels with automated renewals, options to collect dues and donations, and event management features.
The platform’s biggest strength is reducing admin work. From one dashboard, you can process payments, track renewals, and manage communications without juggling multiple tools.
It’s most commonly used by associations, clubs, and nonprofits—groups that value strong administrative features more than advanced community engagement tools.
Now let’s look at the first major category in our review: Membership & Monetization.
We tested MemberPlanet to see how well it manages members and payments—the core of any membership group.
The basics work. You can manage memberships, collect dues, and handle renewals easily.
But is doing the basics enough today?
The platform feels more built for what organizations needed in the past than what they expect now.
Here’s what we found:
The level of control you have over membership structures is impressive.
We easily set up different membership types: free, one-time paid, lifetime, and discounted annual plans. Creating tiered levels like Gold or Platinum is straightforward, and you can even enable recurring billing or stick with manual renewals for each one.
We found some really smart automation features. You can set rules to change a member’s type automatically after renewal, like upgrading a student to a professional membership after a year.
You also control how renewals work: members can renew on their individual join date, or everyone can renew on the same date, with prorated dues for mid-cycle joiners.
Speaking of prorating, the system handles it perfectly. When we added a new member halfway through a cycle, the system adjusted the fee automatically. You can also manually assign levels and record offline cash or check payments, which is important if you handle both online and offline members.

But the standout feature here is Member Circles. This lets you manage group accounts, such as families, companies, or departments. A designated Circle Admin manages the group and can add or remove members. It makes decentralized management much easier.
Getting new members signed up is a smooth experience, largely because you can tailor every step. You can customize the welcome email, decide which fields members must fill in, and adjust the process depending on your needs.
Want just a name and email to reduce friction? Done. Need to collect t-shirt sizes and dietary restrictions for an event? Also done. The process is mobile-friendly, and new members can join through an invite link or a public sign-up page.
MemberPlanet doesn’t mess around with payments. Everything is built into the platform, so members aren’t redirected to a third-party site.
You get a full suite of options:
You can set up one-time payments or recurring subscriptions, and there’s an installment plan option that lets members propose their own payment schedules. You decide whether to absorb processing fees or pass them on.
The QuickPay invoicing feature lets you create and send beautiful, branded invoices for any one-time charge. Larger organizations can also issue prepaid purchase cards to staff, track expenses, and control budgets directly from the platform.
Members get a secure dashboard to view their profile, event calendar, directory, and payment history. They can manage their own data, update privacy settings, and renew memberships.

The only problem is that members cannot update their own payment methods. If a card expires, an admin has to step in. This creates a surprising amount of unnecessary overhead for your team and a frustrating experience for members.
We absolutely loved this. Instead of asking members to log in, you can email them a direct link to update their information. They make changes right from the email, and the database updates instantly.

You can issue digital or printable membership cards. They are customizable with your branding, accessible through the member account or mobile app, and easy to print on standard business card templates.

MemberPlanet goes beyond dues collection.
For all its power, MemberPlanet lacks three critical modern features we tested for:
You’ll spend more time on manual administrative tasks, struggle to grow internationally, and likely see lower conversion rates because you can’t offer tempting trials or discounts. It’s a platform built for managing members rather than empowering them and growing your organization effortlessly.
Managing members well is the foundation of any organization. So we tested MemberPlanet closely to see how it handles both administration and community building.
The results were mixed.
We found a platform with an incredibly powerful backend for managing people, but a surprisingly weak frontend for helping them connect.
First, the good news. The best part of MemberPlanet is the database. It’s secure, cloud-based, and powerful.

We imported a large set of test member data without issues. The system supports unlimited members and custom fields, so you can track almost anything you want, from simple details to very specific preferences.
Admins will appreciate that the data isn’t just stored, but also easy to use. You can:
It’s a cloud-based, encrypted system that works with existing tech partners. Overall, it makes complex member management much easier.
If you have a large or chapter-based organization, you’ll appreciate the multi-level structure. Headquarters can maintain financial oversight and brand consistency across groups, while local chapters have the freedom to manage their own events and communication.
And speaking of admins, the role management is granular and secure. You can add unlimited admins and define their permissions exactly. For example, someone can have “view only” access for finances but full control over events. This level of control is great for security and delegation.

Beyond basic filters, MemberPlanet gives you powerful tools to organize your members. You can create “Member Types” and “Status” labels (like “Executive Board” or “Lapsed Member”) to keep things sorted.
The “Dynamic Distribution Lists” are a huge time-saver. These lists auto-populate in real-time based on member actions. If you create a list for “Donors Over $100,” the system adds members to it in real time. This saves a lot of manual work.
Now, we get to the community part, where our excitement noticeably dipped. The tools feel functional but dated; they are more about administration than organic connection.
Here’s what you get:

But is a basic discussion board enough to build a real community? We don’t think so.
Compare this to GroupApp, which offers an Activity Feed for casual, daily updates, Channels for organized topics, and real Direct Messaging. MemberPlanet’s tools feel static. They lack the fluid, feed-based experience that sparks spontaneous conversation and daily engagement.
Other engagement tools are a mixed bag:
But again, we hit a missing piece.
There’s no dedicated, central home for your group’s knowledge.
You can’t natively store and organize videos, PDFs, or training materials. Instead, you have to connect to outside tools like Box.com.
GroupApp offers a native content library for resources, making it a true hub for learning and sharing. MemberPlanet’s workaround is less intuitive.
We have to call out Bundled Forms again because it’s so clever for management. You can combine a payment form, a waiver, and a survey into a single “packet” accessible through one URL. This makes complex processes like onboarding or event registration very smooth for both admins and members.
MemberPlanet gives you world-class tools for managing your members as data points. The database, segmentation, and admin controls are top-notch
But it provides only primitive tools for connecting your members as a community. The lack of a modern activity feed, organized channels, and a native content library means your community will likely remain passive.
In short, it’s strong for administration, but weak for connection.
Events are a big deal for most organizations because they unite people and generate revenue. We put MemberPlanet’s event tools through their paces and found a system that excels at managing the logistics of in-person gatherings.

We started by creating an event, and the process is simple. You build a custom event page directly on the platform and can add your branding, details, photos, and videos.
Setting up RSVPs is a breeze. You can set limits on attendees, track responses in real time, and control capacity without hassle. This is perfect for managing capacity for a gala or a workshop.
Now, for the really powerful part: ticketing and merchandise.

You have a ton of flexibility here. We set up variable pricing in minutes:
You can even set required purchase items. And to collect all the info you need, you can add unlimited custom questions to the registration form. Dietary restrictions, t-shirt sizes, workshop preferences… it all gets collected neatly.

Getting the word out is simple and built in. You can send branded email invites and updates directly from the platform. The best part? People can RSVP or even donate without creating an account first, making sign-ups smoother.
When the event day arrived, we tested the execution tools.
The check-in feature worked flawlessly. Attendees can check themselves in using a unique passcode displayed on their screen, or admins can manually check them in on a tablet. It’s efficient and prevents long lines.
We also loved the mobile payment feature. The mobile app lets you sell tickets and take credit card payments at the door—great for last-minute sign-ups.
Where MemberPlanet truly shines for events is in the reporting. The post-event data you get is detailed and incredibly useful. We could pull custom reports in seconds:

All custom data from the registration forms is available, and members can add their photos to a shared album after the event.
Branding isn’t just about a logo; it’s about creating a professional experience that reinforces your identity at every touchpoint. We tested MemberPlanet’s customization tools, and while they give you much control, the platform never feels entirely your own.
First, the good stuff. The platform gives you impressive control over visual details.
You can brand almost every communication. Welcome emails, renewal reminders, and confirmations can all carry your logo, colors, and tone. That consistency makes a big difference.
The website builder (The Hub) is drag-and-drop and mobile-friendly. We found it easy to create mobile-optimized pages that adopted our look and feel.

Where does this branding consistency really matter? During payments. Your branding stays front and center on:
You aren’t suddenly redirected to a generic, unbranded payment page. This builds trust with members.
For large organizations, the Fill-and-Lock templates are especially useful. Headquarters can control the design while letting chapters add local content. Membership cards are also simple to customize with your logo and colors.
So, you can change a lot. But can you make it truly yours?
Members must use the generic MemberPlanet app, not one with your name and branding. This immediately reminds everyone they’re using a third-party tool.
You also can’t redesign core elements like the login screen or onboarding flow. You can adjust colors and logos, but the overall framework stays the same.
The bottom line? MemberPlanet lets you put your brand on top of its framework very effectively for emails, web, and payments.
But without a white-labeled app or deeper customization, your community won’t feel fully independent. It still looks and feels like MemberPlanet underneath.
Marketing is all about growth—keeping members engaged and attracting new ones. We tested MemberPlanet’s marketing tools with this goal in mind.
The results? It’s strong when communicating with people you already have, but it offers almost nothing for reaching new members.

All of this makes MemberPlanet effective for talking to your current community.
It assumes you already have a list and another tool to grow it. This forces you to pay for extras like Mailchimp or Leadpages just to run basic acquisition campaigns.
This is exactly where a platform like GroupApp provides a complete, all-in-one solution. It solves MemberPlanet’s biggest limitations by building the marketing funnel directly into the platform.

MemberPlanet helps you keep your members informed. GroupApp helps you grow your membership in the first place.
We’re glad MemberPlanet includes some automation features, though we found the options somewhat limited in practice:
For operations and marketing, there are also some solid tools:

All of these tools are practical and work well for day-to-day administration.
The problem is that most automations stop at the transactional level. They react to payments and sign-ups but don’t respond to member behavior.
Because of these limits, deeper engagement often means more manual work from your team.
GroupApp’s automations are designed for engagement and long-term retention, not just transactions.

The difference is clear: MemberPlanet automates tasks, while GroupApp automates experiences.
MemberPlanet does offer integrations, but they’re more basic than advanced. You get enough to cover the essentials, but not the kind of deep, smooth connections many organizations expect today.
The API is the core integration feature, allowing you to sync with existing databases and exchange data with CRMs and financial systems like QuickBooks and NetSuite. The widget tool is also handy—you can embed dynamic content on your website so members interact with data without logging into another system.
For built-in solutions, you can use:
These cover the basics, but the gaps were clear when we looked at modern marketing needs. The platform doesn’t have native integrations with Facebook Pixel or Google Tag Manager, which makes it harder to track ads or run retargeting campaigns. And while the API can help, the lack of Zapier or similar tools makes things harder for teams without technical expertise.
The overall effect is increased technical complexity and setup time when connecting MemberPlanet to modern marketing stacks. It’s fine for basic needs but falls short for organizations that need accessible, ready-to-go integrations across their tools.
When it comes to understanding your organization’s health, MemberPlanet gives useful tools for tracking the financial and operational details.
You can create detailed, customizable reports on membership status, payment history, and more. In our testing, we liked how easy it was to:
The financial reporting is particularly strong. You get detailed transaction records and can view consolidated payment reports that simplify accounting.

This is a real strength for organizations that need to track money in and out.
Email and campaign analytics are also solid. You can track delivery rates, opens, clicks, and bounces. For fundraising, the built-in progress visuals give you a clear picture of how donations are coming in.
But here’s where we noticed some limitations.
The platform doesn’t track real community engagement. It can show you who paid dues or RSVP’d for an event, but not who’s most active in discussions, which topics spark the most interaction, or how members connect.
Now, we recognize that MemberPlanet was built primarily for membership management rather than community building. Still, features like Member Circles suggest some community functionality exists. Yet there’s no corresponding analytics to measure how those circles perform or engage.
You won’t find learning analytics or progress tracking here either, but that’s simply because MemberPlanet doesn’t include a native course builder or learning management system (LMS). Since the platform isn’t designed to host educational content, it doesn’t track student progress or engagement with learning materials. You can track registrations, but not what people learned or how they progressed through the material.
MemberPlanet does cover mobile essentials. All feature pages and payment forms display properly on phones, so donations and registrations are smooth. The admin app also gives you useful features:

For members, the mobile app provides basic self-service capabilities:
However, white-label features are extremely limited or non-existent. Members download and use the “MemberPlanet” app, not an app with your brand and name. This instantly reminds them they’re using a third-party tool.
The app also leans heavily on transactions. It handles payments and event check-ins, but doesn’t give members full access to community discussions or content. That means you miss out on deeper, everyday engagement.
MemberPlanet wasn’t built to be a learning platform. It’s first and foremost a membership management tool, and it excels at that core function. We tested its capabilities thoroughly, and while you can create workarounds for educational content, you should understand what you’re getting into.
Because here’s the reality: your members increasingly expect learning experiences, not just membership benefits.
So what can you actually do within MemberPlanet?
With some creativity, you can work around the limitations. For example:
These options cover very simple content delivery, but they take extra work and don’t feel like a proper learning experience.
There’s no course builder to structure curriculum, no way to drip content based on completion, no tools for quizzes or assignments, and no certificate generation. You can’t enforce lesson completion or create structured learning paths.
This isn’t a flaw—it just wasn’t designed for learning. But many membership organizations today need education as part of their value.
GroupApp comes with a built-in LMS designed for structured learning:

With MemberPlanet, you’re managing members who might access some content. With GroupApp, you’re guiding members through structured learning experiences that provide real value and keep them engaged long-term.
For organizations where education forms part of the member value proposition, this distinction isn’t just nice-to-have—it’s essential.
Let’s talk about how you share resources with your members. This is where MemberPlanet shows its true colors as a membership management platform rather than a learning platform.
You can distribute content on the platform, but you’ll need to get creative about organization.
Here’s what works:
While these tools work for basic file sharing, they don’t create a cohesive learning experience. Resources tend to become scattered across different forms, events, and emails. Members will struggle to locate specific educational content when they need it.
GroupApp helps you build a structured knowledge base that members can actually use.

With MemberPlanet, you’re distributing files. With GroupApp, you create a structured learning environment where resources are organized, accessible, and part of a larger educational experience.
MemberPlanet’s support is solid, but how much help you get depends on your plan.
What you get at all levels:
What higher-tier plans add:
Onboarding and training options:
Everyone has access to helpful resources and direct support, but you’ll need one of the premium plans if you want fast responses and more personalized attention.
We tested MemberPlanet from both the admin and member sides. Here’s what we found.
For admins, the platform works really well. Everything is in one place, the navigation is clear, and the drag-and-drop tools are easy to use. Templates save time, and the automation features cut down on repetitive work. Managing tasks feels smooth and efficient.
For members, the experience is more basic. The dashboard lets them update their profile, make payments, and RSVP to events. It’s functional, but it doesn’t feel like a true community space. There’s no activity feed or features that encourage members to spend more time inside the platform.
Admins will appreciate the efficiency, but members may feel less connected and less motivated to return often.

The platform offers four main tiers:
| Plan | Monthly Billing | Annual Billing | Platform Fee |
| Basic | Free | Free | 4% |
| Essentials | $50/month | $510/year | 2% |
| Pro | $100/month | $1,020/year | 1% |
| Premium | $175/month | $1,785/year | 1% |
On top of that, all plans include payment processing fees of 3% + $0.30 per transaction.
Here’s where it gets expensive. You’re paying three layers of costs: the monthly subscription, the platform fee, and the processing fee.
For example, if you process $5,000 in transactions on the Essentials plan:
That’s about $300 a month, or 6% of your revenue, before add-ons.
Add-ons are also pricey: website migration is $1,500, a custom theme is $500, and even a design kit costs $100.
The problem is that the more you grow, the more you pay in percentage-based fees. That makes costs unpredictable and harder to budget for. It also eats into your margins as your transactions increase.
This setup might work fine for small organizations just starting out, but for larger or growing communities, the fee structure can become a serious drawback.

MemberPlanet excels at one thing: administration. It handles memberships, renewals, payments, and events with reliable, straightforward functionality. It delivers on its promise for organizations that need a dedicated tool for these operational tasks.
But we have to ask: Is reliable administration enough anymore?
Today’s members expect more than transactions. They want connection and value. This is where MemberPlanet starts to fall short.
With MemberPlanet, you’re paying platform fees on top of payment processing fees, all while likely layering on extra tools for community engagement, learning, or marketing. Costs quietly stack up for you, while the experience becomes frustratingly fragmented for your members.
We believe the future of memberships isn’t about patching together separate tools. It’s about choosing a single platform that powerfully connects day-to-day operations with a truly engaging member experience.

If MemberPlanet covers the basics of administration, GroupApp is built to deliver the complete membership experience. It’s an all-in-one platform where you can manage memberships, teach, build community, and monetize inside a cohesive ecosystem.
Here’s what makes GroupApp a stronger choice for growing organizations:
With GroupApp, nothing is a paid add-on. These features are all part of your plan, designed to work together from the start.
No commitment required.
